Templates

If the system displays the Templates icon on the tile containing the selected vendor partner's name, then you can define Item templates for creating new products and Item update settings for updating existing products in your business software database based on the information you receive via Dealer Gateway from the selected vendor partner.

Using the New links on the item tiles (Equipment, Supplies, and Parts), you can view information received from your vendor partner(s) via Dealer Gateway that can be used to create new item records in your business software database. For each item you want the system to create in your business software database, you use the Sync with System page to assign a template to the item to indicate how the system should create the new record from the vendor partner's data. The templates from which you may select on the Sync with System page are the item templates you define here on the Templates page. ECI recommends setting up at least one item template per item category in your business software database. You may define additional item templates as necessary to accommodate both your requirements and your vendor partner's requirements for establishing items in your business software database.

Using the Item Update links, you can view information received from your vendor partner(s) via Dealer Gateway that can be used to update existing item records in your business software database. For each item you want the system to update item record information in your business software database, the system will update the item using the settings you specify in the Item update settings region of the Templates page.

Adding Item Templates

1. To access the Templates page, click the Templates icon in the Partner tile on the Dealer Gateway home page. The Templates page displays.

2. In the Item templates region, click [Add] to open the Add Template window.

3. In the Name field, enter a name for the template.

4. Click [OK]. The Add Template window closes and more fields display in the Item templates region of the Templates page. The template name displays in the Name field.

5. In the Item number prefix field, if desired, enter the prefix you want to assign to the beginning of the item number for items under this template.

6. In the Item type field, use the drop-down menu to select the item type you want assigned to items under this template.
Note: This is a required field.

7. In the Item category field, use the drop-down menu to select the item category you want assigned to items under this template.
Note: This is a required field.

8. In the Inventory code field, use the drop-down menu to select the inventory code you want assigned to items under this template.
Note: This is a required field.

9. In the Sales code field, use the drop-down menu to select the sales code you want assigned to items under this template.
Note: This is a required field.

10. If you want to assign a service code, in the Service code field, use the drop-down menu to select the service code you want assigned to items under this template.

11. If you want to assign an equipment code, in the Equipment code field, use the drop-down menu to select the equipment code you want assigned to items under this template. The Tracking configuration field displays.
Note: This is a required field.

12. If the Tracking configuration field is displayed, use the drop-down menu to select the tracking configuration you want assigned to the items under this template.

13. In the Model category field, use the drop-down menu to select the model category you want assigned to items under this template.
Note: This is a required field, but will only be used when there is a model provided by the manufacturer.

14. In the Make field, use the drop-down menu to select the make you want assigned to items under this template.
Note: This is a required field when an equipment code is selected in the Equipment code field on the Templates page.

Editing Item Templates

To edit an existing item template, do the following:

1. To access the Templates page, click the Templates icon in the Partner tile on the Dealer Gateway home page. The Templates page displays.

2. In the Item templates region, use the Template drop-down menu to select the template you want to edit for the selected vendor partner.

3. To edit the name of the template, do the following:

4. Click [Edit] to open the Edit Template Name window.

5. In the Name field, enter the new name for the template.

6. Click [OK]. The Edit Template Name window closes and the new template name displays in the Name field.

7. Update additional fields as appropriate for this template for the selected vendor partner.

Deleting Item Templates

To delete an item template, do the following:

1. To access the Templates page, click the Templates icon in the Partner tile on the Dealer Gateway home page. The Templates page displays.

2. In the Item templates region, use the Template drop-down menu to select the template you want to delete for the selected vendor partner.

3. Click [Delete]. The Delete Template window displays the message, "Do you wish to permanently delete template '[Template Name] for [Partner]?"

4. To delete the template, click [OK]. If you do not, want to delete the template, click [Cancel].

Setting Update Settings

To set the item update settings, do the following:

1. Click the Templates icon in the Partner tile on the Dealer Gateway home page. The Templates page displays.

2. Scroll down to the Item update settings region.

3. In the Item update settings region, you identify which e-automate fields you want updated on the item record when a new item is linked to an existing item and item updates and pricing updates are synced with the system. Check the box next to each of the following update settings to identify the item record field you want updated in e-automate.

· Remarks: Updates the Primary note field on the Item Notes window of the item record.
Note: In e-automate, remarks represent external information that you might share with customers and/or vendors. Remarks are not stored in item records. The remarks received from participating vendor partners are what e-automate would refer to as notes, internal information. For this reason, if you check this box, the system updates the notes in the item record with any remarks the vendor partner has associated with an item.

Barcode: Updates the UPC field on the item record.

· Description: Updates the Description field on the item record.

· Metered: Updates the Metered checkbox on the model record of the model associated with the item. Only the checkbox is updated. Meters are not automatically configured. You must enter the meters and identify the default meter manually.

· OEM number: Checking this box updates the OEM number field on the Codes and Settings tab of the item record, and the Vendor item number field on the Vendors tab of the item record. If the item is being updated, Dealer Gateway places the existing number in the History of vendor item numbers region and places the new number in the Vendor item number field. If the item is being updated, Dealer Gateway places the existing number in the History of manufacturer’s numbers region and places the new number in the Manufacturer number field.

· Unit of measure: Updates the Unit of measure field on the item record.

· Vendor status: This is the vendor’s item status. There is no field in e-automate that updates. Digital Gateway recommends you leave this box unchecked.

· Weight: Updates the Weight field on the item record.

· Yield: Updates the Copy yield field on the Codes and Settings tab of the item record.
